POSITION:                State Reporting Data Analyst

 

LOCATION: Central Office

 

POSITION GOAL: State Reporting Data Analyst, as a member of the Data and Accountability Team, manages the  accurate and timely update of data for state reporting, works with  schools/departments to maintain their state reportable data per DESE guidelines and district expectations, and provides support to District leadership as needed with data requests. By supporting each building’s use of the PowerSchool Student Information Systems (PS SIS), the State Reporting Data Analyst will continue to plan and execute efficient and innovative ways to improve workflow and processes across all of our business and administrative services. 

 

QUALIFICATIONS:

 

  • 2-3 years of experience with State and Federal Reporting requirements, such as SIMS, SCS, EPIMS, and other DESE (or similar) reporting systems.
  • Proficiency in Microsoft Suite (Excel, Word, PowerPoint etc.). 
  • Proficiency in Google Suite (GMail, Google Sheets, Google Slides etc). 
  • Familiarity with Student Information Systems (SIS), such as PowerSchool, preferred. 
  • Attention to Detail with a strong focus on data accuracy and consistency across systems.
  • Strong Analytical and Problem-Solving Skills to address reporting discrepancies and improve data quality.
  • Excellent Communication Skills for collaboration with various departments, including Human Resources (HR), Special Education Office, Office of Communications & Family Engagement (CFE), Information Technology (IT), school based administration, and central office staff.
  • Project Management Skills to handle multiple reporting deadlines and requirements. 

 

PERFORMANCE RESPONSIBILITIES:  

  • Responsible for completing and submitting reports and other information to fulfill the mandates of the Massachusetts Department of Elementary and Secondary Education for SIMS (Student Information Management Systems),  EPIMS (Education Personnel Information Management Systems) and SCS (Student Course Schedule). Responsible for cross-validating data from the  three submissions, troubleshooting and editing data, as needed to certify data with DESE.  
  • Manages access to DESE security portal among school/district leaders & staff, supports their use of this portal to view data and download when necessary. 
  • Leads the department user provisioning: 
    • Creates PS SIS accounts for New Employees;  
      • Works with HR to source employee data needed for state reporting
    • Manage the exit of Employees within the PS SIS 
      • Works with HR, and Schools to both report and store accurate data. 
    • Manages leave of absences and substitutes of Employees within PS SIS. 
    • Works with District Leadership to define policies & expectations for New User Onboarding Sequence. Communicates with users and shares documentation on policy as needed. 
  • Monitors the successful use of PS SIS across schools with a focus on state/federal guidelines and data integrity.  
    • Provides Tier 2 support for PS SIS functions managed directly by schools.
  • Creates documentation as needed to define consistent best practices for all essential functions. 
  • Collaborates with Enrollment & Engagement specialists on new student data delivery to ensure students are appropriately documented for state reporting.  
  • Collaborates with the Deputy Superintendent’s office on their work to submit DESE Student Safety & Discipline Report (SSDR). Assists this team with DESE security portal issues encountered. 
  • Collaborates with the Deputy Superintendent’s office on their work to compile and submit data required for the Civil Rights Data Collection (CRDC) federal report.
  • Collaborates with the Food Service Director on using family data within Heartland systems as needed for state reporting.
  • As part of the Data and Accountability Team, reviews planned upgrades of State/Provincial Content for PS SIS server and School Interoperability Framework (SIF) connection to PS SIS. 
  • Responds to Help Desk tickets by providing PS SIS support to K12 teachers, staff, and families in alignment with Data & Accountability team guidelines, ensuring timely responses, direct assistance, and guidance on requests that intersect with our work, such as Registration delivery tickets and IT questions regarding student name changes.  
  • Works with outside vendors to provide necessary support and data for inquiries like School Photos. 
  • As part of the Data and Accountability Team, creates support documentation and training for end users.
  • Attend meetings and conferences as assigned by the Director of Data, Research, and Accountability.
  • Other duties as instructed by the Director of Data, Research, and Accountability.

 

TERMS OF

EMPLOYMENT:      Full year, 15 Vacation Days, 15 Sick Days, 2 Personal Days per fiscal year, as well as paid holidays observed by the Arlington Public Schools. Health Insurance and other Insurance Benefits in accordance with Town and School policies for benefit-eligible employees. 

 

 

REPORTS TO:          Reports to and is evaluated by the Director of Data, Research, and Accountability.

 

SALARY:                  $80,000 - $88,000 per year.
